Manual data maintenance, complex processes and lengthy updates

syskomp gehmeyr GmbH faced several challenges that affected the efficiency and accuracy of its data maintenance:

On the one hand, the effort required to manually maintain the product data in Excel was very high and prone to errors. The lack of automated plausibility checks made it difficult to maintain a consistent data model.  

On the other hand, corrections and additions often had to be made individually, which made the process inefficient and error-prone. In particular, adding additional products from partner companies to the company’s own range was only possible with an enormous amount of manual effort.

It was also not possible to provide marketing with up-to-date product information to create print catalogs and price lists.

Solution

A central database as the foundation for automation and consistent data streams

syskomp gehmeyr GmbH decided to implement the Product Data OS from entitys, a comprehensive Product Information Management (PIM) solution that enables consolidated and standardized management of product information. The new data model includes a consistent classification hierarchy with clearly defined characteristic and value lists for the respective classes to ensure a uniform data structure.

The company received operational support from the Master Data Managers at entitys.io in order to achieve the desired level of quality maturity. The experts from the Customer Success Team optimized the data structure and ensured that the relevant attributes were implemented efficiently and accurately.

In addition, the BMEcat standard was implemented to simplify data exchange with target systems, which makes it much easier to provide product information for the online store, procurement platforms and marketplaces as well as to smoothly transfer supplier data to expand the product range.

An interface to the company CDN was set up so that product data was supplied with the latest media from the DAM.

With the standard EasyCatalog interface, marketing always receives up-to-date data for creating catalogs via InDesign.

The online store and the specially developed configurators are automatically populated at regular intervals by entitys.io’s Product Data OS. In addition, syskomp gehmeyr can also trigger the update of its data feed manually at any time if required.

The implementation of entitys.io’s modern PIM solution led to significant improvements. The clearly structured data organization increased data quality across all products by 80%, while the resulting automation functions reduced the average data maintenance time by 50%.

At the same time, the PIM system facilitated the transfer of product information to the sales channels and significantly reduced their maintenance costs: the update time for product information in the online store and print media was reduced by 70%, meaning that information is now provided much faster and is always up-to-date.
